Privacy Policy
Effective October 17, 2026. Last updated October 17, 2026.
This policy explains what information we collect, where it comes from, how we use it, who we share it with, how long we keep it, and what you can do about it.
We have written it in plain language on purpose. It is the complete description of how we handle your information — there is no second policy, no separate data-sharing agreement, and nothing about your information that is not described here.
1. Who we are
TruckerSites.com is operated by DOT Services of America LLC, a Florida limited liability company. In this policy, “we,” “us,” and “our” mean DOT Services of America LLC.
TruckerSites.com is a trade name. It is not a separate company.
DOT Services of America LLC is a private company. We are not affiliated with the U.S. Department of Transportation, the Federal Motor Carrier Safety Administration, or any other government agency.
2. What this policy covers
This policy covers the information we handle when you:
- visit truckersites.com;
- request a Visibility Report;
- speak with us by phone, text, or email;
- subscribe to a plan; or
- use a website we build and host for you.
It does not cover TruckerOutpost.com, which has its own privacy policy, or any other website you reach through a link from ours.
3. Information we collect from you
When you contact us or request a report: your name, your company name, your phone number, your email address, and your USDOT number.
When you subscribe: your billing name and address, and the plan you chose. Payment is handled by Stripe. We never see, collect, or store your card number.
When we build your site: whatever you give us for it — your text, your photographs, your logo, your equipment list, your service areas, your hours, and your contact details.
When you call us: notes about the conversation and the disposition of the call. We do not record calls — see section 8.
When you text with us: your mobile number, your consent, and the messages exchanged. See section 7.
When you visit the website: standard server log information — IP address, browser type, pages requested, and timestamps — and the functional cookies WordPress sets to make the site work. We do not use advertising cookies, cross-site tracking pixels, or ad-network tags.
From visitors to your site: if your site has a contact form, the submissions go to you. We handle them only to deliver them to you and to keep the form working.
4. Information we get from other sources
Before and during a conversation with you, we look up information about your carrier from:
- public FMCSA and USDOT records, including your authority status, fleet size, inspection and crash history, and the contact information on file;
- public business listings and directories; and
- licensed commercial carrier-data providers we pay for access to.
This information is about your business and most of it is already public. We use it to prepare Visibility Reports, to reach the right person, and to know what we are talking about before we call you.
We cannot change or remove public FMCSA records. Those belong to the federal government, and corrections go through FMCSA. We can remove our own copy of them from our systems.
5. How we use information
We use information to:
- produce Visibility Reports;
- build, host, maintain, update, and support your website;
- take payment and handle billing, renewals, and refunds;
- contact you about your order, your site, and your account;
- answer your questions and resolve problems;
- send you the text messages and emails you asked for;
- train our own staff and review the quality of our sales and support calls;
- keep our systems secure, prevent fraud, and investigate abuse;
- meet our tax, accounting, and legal obligations; and
- improve the service.
We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects, and we do not use it for targeted advertising.
6. How we share information
We do not sell your information. Your details are not placed on a list that is sold, rented, or traded to other companies. Information will not be sold or shared with third parties for promotional or marketing purposes.
We share information in these situations, and no others:
Service providers who work for us. Stripe for payments, our web host for hosting, our email delivery provider, our telephone and text message provider, and the carrier-data providers described in section 4. They may only use the information to do the job we hired them for, they may not use it for their own purposes, and they are bound by contract to protect it.
Our other trading names. TruckerSites.com, TruckerOutpost.com and DOT Services of America are all trading names of the same company, DOT Services of America LLC. They are not separate companies and they are not third parties — they are one business operating under more than one name, and all of them are bound by this policy. We share basic account information with them so that:
- your free TruckerOutpost.com membership can be set up and supported; and
- when you call one of them, the person you reach already knows who you are and what you have.
Our affiliates may contact you about services relevant to your operation. You can stop that contact at any time by telling any of us, and the request applies across all of them. Your text message consent is never part of this sharing. See section 7.
An affiliated licensed insurance agency — only if you say yes. If, during a call, you agree to be contacted about commercial trucking insurance, we pass your name and contact details to a separately licensed insurance agency. This happens only with your agreement on that call, it is never automatic, and declining it changes nothing about your plan, your price, or your service. That agency is separately licensed and handles your information under its own privacy policy from the point it receives it.
When the law requires it. In response to a subpoena, court order, or valid request from a regulator or law enforcement; to establish or defend a legal claim; or where we are required to report something. Where we are permitted to tell you first, we will.
If our business changes hands. If we are merged, acquired, or sell part of the business, customer information may transfer as part of it. The acquirer would be bound by this policy for information collected under it, and we would tell you before any change in how your information is handled.
7. Calls, text messages, and email
7.1 Calls
We call carriers about our service. If you ask us to stop calling, we stop, and we record that request so it continues to be honored. We also honor the National Do Not Call Registry and state do-not-call lists for marketing calls.
Once you are a customer, we may call you about your order, your site, and your account regardless of marketing preferences, because those calls are part of delivering the service you bought. You can ask us to use email instead.
7.2 Text messages
We run a text message program under the program name TruckerSites.com.
How you join. Only by consenting and then confirming. When you give us consent — in writing, or verbally on a call that we log in our system — we send one confirmation text. You are not enrolled until you reply YES to that confirmation text. If you do not reply, we do not text you again.
What we send. The website demo you asked for, confirmation of a scheduled call, and follow-up about the service we discussed. Approximately 4 messages over about 1 month.
Cost. We do not charge for the texts. Message and data rates may apply from your carrier.
How to stop. Reply STOP to any message. You will get one confirmation and then nothing further. You can also call 772-262-4440 or email support@truckersites.com.
Help. Reply HELP, call 772-262-4440, or email support@truckersites.com.
Consent is not a condition of purchase. You do not have to agree to texts to buy, use, or keep any plan.
How we handle the information in this program:
- Information will not be sold or shared with third parties for promotional or marketing purposes.
- Your mobile number, your consent, and the messages you exchange with us are not shared outside this program — not with third parties, and and not under the other trading names described in section 6. The sharing described in that section does not include anything in the text message program. Agreeing to texts from TruckerSites.com does not enroll you in texts from anyone else, and no affiliate receives your number or your consent from us.
- The only outside party that handles these messages is our text messaging provider, which transmits them for us and cannot use them for anything else.
- We keep a record of your consent, and of any STOP request, for the period in section 11. We keep opt-out records permanently so your request is never lost.
7.3 Email
Marketing email has an unsubscribe link in every message and we honor it. Service email about your order, your site, your account, and your billing is part of the service, and we may send it while your account is active.
8. Call recording
We do not record our calls. Outbound sales calls and inbound support calls are not recorded, on either side of the line.
What we do keep is a written record: notes about the conversation, how the call was dispositioned, and anything you asked us to do — a request not to be called again, a text message opt-in, or permission for a licensed insurance agent to contact you. Those notes are kept with your carrier or customer record and are covered by section 11.
If we ever begin recording calls, we will announce it at the start of the call and we will update this policy before we start.
9. Cookies and tracking
We use the functional cookies WordPress sets so the site works, and standard server logs.
We do not use advertising cookies, cross-site tracking pixels, ad-network tags, or third-party analytics that build a profile of you across other websites.
Because we do not sell or share personal information and do not run targeted advertising, there is nothing for a browser opt-out signal — Do Not Track or Global Privacy Control — to turn off. We honor those signals in the sense that there is no selling, sharing, or cross-site tracking to begin with.
10. Payments
Payments are processed by Stripe. You enter your card details with Stripe, not with us. We receive a confirmation, the last four digits, the card brand, and the expiration date — never the full card number and never the security code.
Stripe handles your payment information as a separate controller under its own privacy policy. Charges appear on your statement as DOTSOA* TRUCKERSITES.
11. How long we keep information
| What | How long |
|---|---|
| Your website, files, and backups | While your subscription is active. After a subscription ends or a site goes offline for non-payment: 210 days, then removed. |
| Customer account and billing records | 7 years after the relationship ends, for tax, accounting, and legal purposes. |
| Prospect and lead records (not yet a customer) | 24 months from the last meaningful contact, then deleted — or sooner if you ask. |
| Call notes and dispositions | Kept with the carrier or customer record they belong to, and deleted when that record is. |
| Text message consent records and message logs | 4 years from the last message or your opt-out. |
| Do-not-call and text opt-out records | Permanently. We have to keep these so your request is never lost. |
| Email unsubscribe records | Permanently, for the same reason. |
| Server logs | 90 days. |
| Contact form submissions from your site visitors | Delivered to you and kept with your site. Removed with your site. |
If we are required to keep something longer — a legal hold, an open dispute, a tax requirement — we keep only what we have to, and only for as long as we have to.
12. How we protect information
We use access controls so staff see only what their job requires, encrypted connections for data in transit, encrypted storage for payment-related material, logging of access to customer records, and background screening for staff with access to customer data.
No system is completely secure, and we will not tell you otherwise. If there is a breach affecting your information, we will notify you and any required authority as the law requires, and we will tell you what happened and what we are doing about it.
13. Your choices and your rights
Wherever you live, you can ask us to:
- Tell you what we have about you and where it came from.
- Correct anything that is wrong.
- Delete what we hold, except what we are legally required to keep — tax records, for example — and except information we need to honor an opt-out you have already given us.
- Give you a copy in a portable format.
- Stop contacting you, by phone, text, email, or all three.
- Opt out of sale or sharing. We do not sell or share personal information for promotional or marketing purposes, so there is nothing to opt out of, but you may make the request and we will confirm that in writing.
We will not treat you differently for exercising any of these rights. Your price does not change, your service does not change, and nothing is withheld.
14. State privacy rights
Residents of California, Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws have the rights described in section 13, and in addition:
The right to appeal. If we deny your request, you can appeal. See section 15.
The right to know categories. The categories of information we collect, where it comes from, why we collect it, and who we share it with are described in sections 3, 4, 5, and 6 of this policy. That description is complete.
Sensitive information. We do not collect information about your race, ethnicity, religion, health, sexual orientation, immigration status, union membership, precise geolocation, or biometrics, and we do not collect government identification numbers other than the USDOT and MC numbers that identify your business. We do not use or disclose sensitive personal information for any purpose that would require a right to limit it.
No sale or sharing. We do not sell personal information, and we do not share it for cross-context behavioral advertising. We have not done so in the preceding twelve months. We do not knowingly sell or share the personal information of anyone under 16.
Authorized agents. You can have someone submit a request for you if you give them written permission and we can verify it.
California Shine the Light. California residents may request information about disclosures of personal information to third parties for their direct marketing purposes. We make no such disclosures.
If you are a resident of one of these states and you believe we have not handled your request properly, you may contact your state Attorney General’s office.
15. How to make a request
Email support@truckersites.com with “Privacy Request” in the subject line, call 772-262-4440, or write to the address in section 18.
Tell us:
- your name and your company name;
- your USDOT number, if you have one;
- the phone number or email address we have on file for you; and
- what you want us to do.
How we verify it is you. We match what you give us against our records — usually the phone number, email address, or USDOT number on the account. For a deletion request we may ask one additional question. If we cannot verify the request, we will tell you why and what else we need, rather than ignoring it.
How fast we respond. We acknowledge every request within 10 days and answer it within 45 days. If we need more time, we will tell you before the 45 days are up and take no more than another 45.
There is no charge for a request.
If we say no. We will tell you why in writing. To appeal, reply to that decision within 30 days and tell us why you disagree. A different person reviews the appeal, and we answer within 45 days. If we deny the appeal, we will tell you how to contact your state Attorney General.
16. Children
TruckerSites.com is a service for commercial trucking businesses. It is not directed at children and we do not knowingly collect information from anyone under 18. If you believe a minor has given us information, call 772-262-4440 or email support@truckersites.com and we will delete it.
17. Changes to this policy
We may update this policy. When we do, we will change the effective date at the top of this page.
If a change materially affects how we handle information we already hold about you, we will tell you directly — by email to the address on your account — before it takes effect. We will not apply a materially different use to information already collected without telling you first.
